POSITION SUMMARY
META Employment Services is seeking an organized, client-focused Office Coordinator to support daily operations
across our Belleville and Durham locations. This role ensures our offices run efficiently, provides an exceptional first point
of contact for clients, and supports program delivery through strong administrative, reception, and data-management
responsibilities.

ROLES AND RESPONSIBILITIES
Provide front desk reception; greet clients, respond to inquiries, and maintain a welcoming, organized area.
Manage incoming calls and emails, answering questions, transferring inquiries, and managing general inboxes.
Conduct initial eligibility / intake conversations, schedule appointments, send reminders, and ensure clients
complete required pre-appointment documentation.
Conduct follow-ups via phone, text, and email, documenting all required notes in the client database.
Support clients with basic technology needs, service navigation and general program information.
Coordinate day-to-day office operations across two locations, including supplies, deliveries, room / meeting
bookings, and facility needs.
Support social media and marketing efforts, including creating and scheduling content, assisting with promotional
materials, and helping to maintain a consistent online presence.
Perform accurate data entry, maintain tracking and filing systems, and prepare monthly program reports.
Monitor and process incoming referrals via email / database, entering data required per program guidelines.
Manage workshops and event registration, coordinate calendars, and support onsite logistics, including payment
collection and reconciliation.
Track and reconcile cashboxes, petty cash / payments, ensuring accuracy and timely submission of monthly and
quarterly reports.
Assist with planning and coordinating community events, outreach activities and informational sessions to promote
META services.
Provide general administrative support to staff and contribute to efficient daily operations.
Perform additional duties as assigned.
QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS
Minimum 2 years of experience in administration, reception, customer service, office coordination, or related role.
Post-secondary education in Office Administration, Business Administration, or a related field (a combination of
education and relevant experience will be considered).
Demonstrated ability to work with diverse populations, including individuals with disabilities or complex barriers
Advanced computer skills, including Microsoft Office Suite, databases, and internet-based research tools.
Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Ability to work efficiently and accurately under pressure; adaptable to changing job demands.
Strong interpersonal skills; a collaborative team player who contributes positively to organizational goals.
Ability to coordinate operations across multiple office locations (some travel may be required).
Experience working in a high-volume customer service, or sales environment is an asset.
Experience in employment services or social services is considered an asset.
Access to reliable transportation for work-related travel.
Current and clear Criminal Record Check, including Vulnerable Sector Screening.
