Position Purpose

The Educational Assistant, Centre for Academic Excellence (CAE) oversees advanced administrative functions of the CAE, provides academic support to students, and assists with departmental events and frontline service. This position supports the work of the Academic Advising Office, Career Services, Writing & Tutoring Services, and Accessibility Services. This individual also works as an integral part of Centre for Academic Excellence by maintaining accurate records, processing and preparing reports and resources, meeting with students, writing communication sent from the department, and coordinating services across departments or with external supports to enhance the services in the Centre.

Primary Responsibilities

Administrative Support

  • Draft, manage and respond to email sent and received from all CAE alias emails.
  • Draft and send all mass communication sent by the department.
  • Oversee the CAE’s online booking software, update schedules, and handle cancellations.
  • Generate reports required for all areas of the department.
  • Coordinate team meetings, record, and disseminate minutes.
  • Act as Recording Secretary for the Student Accessibility Advisory Committee and the Diversity and Inclusion Advisory Council.
  • Draft accommodation plans for review by the Accessibility Specialist.
  • Assist in the selection of note takers for Accessibility Services.
  • Assist in coordinating and proctoring test, midterm and final exam accommodations.
  • Assist in the execution of Undergraduate Midterm Report.
  • Edit and format training materials for professional and community development.
  • Review, caption-correct, or convert material into readable formats for accessibility reasons.
  • Print and upload material for seminars, guest lectures, and events.
  • Edit and update content on the CAE’s website, YouTube Channel, and Moodle page.
  • Review and post external student job opportunities on behalf of Career Services.
  • Assist in planning, promotion, and the execution of events hosted by the CAE.
  • Maintain existing administrative systems, while updating or developing new systems to improve efficiency.
  • Create resources for the department related to academic support, wellness, and career planning.
  • Manage expense reports on behalf of the department.
  • Manage expense reports on behalf of Student Life department.
  • Track expenses and revenues for all three student councils (UGS, , and Seminary)
  • Post flyers and posters on campus on designated boards once per week.
  • Assist with Chapel planning and programming through communication with external and internal speakers.

Student Support

  • Hold regular office hours to provide frontline service on behalf of the CAE.
  • Assist in the development of orientation and campus-wide activities hosted by the Centre.
  • Support the Academic Advising Office in planning for academic progress meetings and developing strategies towards improvement.
  • Coordinate resume and cover letter support for students in-person and remotely.
  • Assist the Learning Specialist with in-person or remote writing consultations.
  • Promote a clean, professional, and welcoming atmosphere in the CAE.
  • Collect feedback from students to gauge satisfaction and report concerns to the Director, CAE.
  • Communicate with students who are seeking assistance from Centre staff with respect to academic progress, extensions, appeals and the accessibility process.
  • Position Qualifications

    Education

  • Undergraduate degree or post-secondary diploma.
  • Degree or diploma in English, Communications, or Office Management, preferred.
  • Experience

  • Minimum 1 year of experience working in an administrative support position.
  • Administrative experience in a post-secondary environment, preferred.
  • Skills and Abilities

  • Excellent written and verbal communication skills.
  • Ability to effectively problem-solve and prioritize concerns under time constraints.
  • Considerable flexibility, reliability, and ability to take initiative.
  • Ability to work independently and collaborate with a team.
  • Proficiency in Microsoft Office and general software usage.

    Salary Range

    36,755 - $39,000
