Are you skilled in providing comprehensive support to enhance employee experiences and streamlining office operations? If you’re a people person with a “team above all else” mentality and eagerly looking to support in-office and remote team members, then we have the role for you! We’re looking for an Office and People Operations Coordinator to join us at Thinkific.

As an Office and People Operations Coordinator, you’ll oversee the daily office operations while providing support to the People team. You'll be the on-site point person managing office access, equipment, supplies, and liaising with facility vendors. This is a great opportunity for both administrative or HR professionals, whether you are just starting your career or already have experience, to gain exposure supporting the full employee life cycle. You are a tech-savvy, organized multitasker skilled at prioritizing in a fast-paced setting. Excellent interpersonal abilities to build positive relationships are key.

This role is hybrid, requiring 2-3 days per week on-site at our headquarters in Vancouver, BC . We understand the importance of flexibility and expect the successful candidate to effectively manage their schedule, accommodating potential weeks with increased on-site presence of up to 5 days. We support remote work and work-from-home for this role as schedule permits.

Your goal will be to oversee the daily office operations and support our People team to create positive employee experiences. Here’s how you’ll accomplish this :

Office Coordination

  • Respond to and resolve team member Facilities and Events requests, coordinating with vendors as needed
  • Lead the Occupational Health & Safety (OHS) Committee
  • Act as the main point of contact with our building manager and all office vendors such as our beverage and snack suppliers
  • Support our office security monitoring by managing alarm codes, coordinating vendor visits, and distributing access cards for new team members
  • Act as the first point of contact for team members in our Office Slack channel, responding to questions and sharing updates

Employee Experience Support

  • Oversee hybrid and in-office events planning and setup, including our monthly Thinker Thursday social event, and manage all other requests to host in-office events
  • Be an active participant in Kulture Skuad, our internal events planning committee
  • Support the planning and execution of our annual company-wide Kickoff
  • People Operations Support

  • Respond to and resolve our Recognition & Care requests, coordinating team member gifting as needed
  • Create great new hire experiences, including sending welcome gifts, arranging first time in-office visits, and scheduling and facilitating onboarding sessions
  • Proactively create and maintain documentation for new and existing processes and programs, while actively identifying efficiencies and opportunities for improvements
  • Assist with People Operations administration including onboarding and offboarding tasks, preparing documentation, and handling team member requests
  • Maintain employee data in BambooHR, our HRIS, and other systems as needed
  • Support the People team’s functions and projects, as needed
  • Benefits administration coverage, as needed
  • The person we have in mind likely :

  • Possess 2+ years of experience in an administrative or HR support role
  • Has experience setting up video conferencing tools ( Zoom / Google Meets) and A / V equipment and solutions
  • Is described as reliable and consistent—you know how important it is to reply to requests promptly and deliver on tasks when you say you will
  • Is a natural problem solver—you are resourceful and often find creative solutions to problems
  • Has a natural tendency to be organized with outstanding attention to detail and ability to prioritize effectively
  • Love to learn and grow, always finding new ways level up, whether that’s through gaining professional experience or constantly building new skills and knowledge
  • These things would also be nice, but we think you could learn them on the job :

  • Experience maintaining employee data in BambooHR or another HRIS
  • Experience using G Suite, including Gmail, Drive, Docs, Sheets, Forms, and Slides
  • Knowledge of other tools such as Slack, Asana, JIRA, etc
  • The recruitment compensation range for this position is $60,000-$71,000 CAD
