Your Role
Chronicle Wealth is seeking an Insurance Administrator to join our growing team. This role supports the full lifecycle of insurance business—new applications, underwriting coordination, policy servicing, licensing/CE tracking, and operational support—and serves as a key resource to Chronicle Wealth Advisors, and the financial planning team.
This role is ideal for someone who enjoys being the backbone of operational execution. You are a highly organized, detail-oriented professional who communicates clearly, is passionate about delivering exceptional client experiences, and proactively anticipates and solves problems.
Key Responsibilities
New Business Case Coordination - Manage the end-to-end new business process for life, disability, and critical illness insurance applications.
- Coordinate underwriting requirements, track outstanding items, and follow up proactively with clients, Advisors, and carriers.
- Update internal files and CRM records with accurate notes, documents, and status updates.
- Ensure settled policies are issued accurately and documented appropriately.
Servicing Existing Insurance and Segregated Fund Business - Act as the primary point of contact for all policy and segregated fund service requests, including death claims, beneficiary changes, policy amendments, ownership changes, transfers and withdrawals, LIF/RIF withdrawals, TFSA contributions, and tax slips.
- Liaise with carriers to obtain policy details, service forms, and in-force illustrations.
- Maintain strong knowledge of carrier processes, timelines, and escalation pathways.
- Troubleshoot administrative issues and elevate where appropriate to ensure timely resolution.
Insurance Commission Tracking - Track and reconcile insurance commissions, chargebacks, and adjustments across carriers and product lines.
Licensing & CE Coordination - Manage all Advisor licensing and E&O renewals, ensuring timely submission.
- Maintain centralized CE records across all Advisor designations.
- Help develop and maintain a centralized internal CE tracking system, monitoring CE status and renewal deadlines across all Advisor designations and jurisdictions.
- Schedule, coordinate, and track structured CE opportunities for Advisors—such as internal training sessions, webinars, insurer‑led education, and professional development events.
- Provide reminders and updates to ensure Advisors remain fully compliant.
Office & Operational Support - Support Advisors with scheduling, greeting clients, meeting room setup, reservations, etc.
- Support day-to-day office operations, including managing incoming/outgoing mail, maintaining shared spaces, and coordinating basic office upkeep.
What you Bring
- Life insurance industry experience preferred, with an understanding of insurance carrier platforms, underwriting processes, and in‑force servicing workflows.
- High attention to detail and comfort working with confidential client information.
- Strong organizational skills with the ability to manage multiple cases and competing deadlines.
- Excellent written and verbal communication—clear, professional, and client‑focused.
- Practical knowledge of Microsoft Office (Outlook, Excel, Word, Dynamics), PDF and e‑signature tools.
