Summary
The Facility Manager III is the owner of the house in the building(s) and is responsible for owning and driving all activity, ensuring facilities are operated safely, cost effectively, and efficiently per the operating parameters of the Statement of Work and client contract. The role is visible on site and serves as the primary BGIS representative for day-to-day client and tenant contact for contract performance. Collaboration with all BGIS departments ensures full support of activities and supports our integrated approach to operating buildings.
Opportunities for development include on-account operational leadership, Facility Management Office roles to support accounts, and Project Management roles to lead and execute projects.
Key Duties & Responsibilities
Safety and Regulatory Ownership
- Follow and apply all Health and Safety and Emergency Response requirements aligned with BGIS and client expectations to ensure safety of all employees and building occupants.
- Collaborate with BGIS Health, Safety and Environment Teams on key programs to emphasize Safety Culture.
- Ensure compliance with corporate and legislated policies related to environmental, building code issues by applying knowledge of applicable legislation.
- Lead and instill a culture of safety and compliance throughout the building / region.
- Follow BGIS Hazard Observation Inspection program to ensure compliance with safety and regulatory requirements.
- Oversee compliance with all relevant safety regulations and standards.
Leadership Development & Recognition
Supervise team members, including directing activities, setting goals, evaluating performance, and communicating the operation and maintenance vision; supervise Maintenance Team Leader with a team of >10 members (e.g., Technicians, Tenant Service Coordinators, Property Service Coordinators, Service Delivery Managers).
Encourage Team Member Recognition Program for outstanding work.Identify and nurture leadership potential and provide mentorship and coaching to help team members advance.Collaborate with People & Culture to create career progression plans.Technical Leadership & Oversight
Manage facilities with 500,000 to 1,000,000 sq ft (or multiple properties).Collaborate with Asset Management to provide input in Capital Planning.Oversee complex building operations (HVAC, life safety, etc.).Assume responsibility for technical aspects of facility operations and supervise on-site technical staff to ensure work meets technical standards.Maintain complex preventive and corrective maintenance schedules to ensure asset integrity and value of building systems.Provide expert guidance on maintenance and repair of facility systems and equipment.Attend FMO Monthly Technical Support Sessions to stay updated on best practices and emerging technologies.Ensure seamless operation of critical technical systems.Work Order Management
Collaborate with Central Work Order Management to ensure work is completed as outlined in the MSA.Monitor progress and ensure tasks are completed within established timelines.Work with Account Governance to maintain records of work orders and costs.Streamline and manage work order processes to optimize efficiency.Prioritize and assign work orders based on urgency and impact.Site Visibility & Inspection Management
Maintain a constant presence across the facility and schedule based on building requirements and criticality.Conduct site inspections to proactively identify and address issues.Prioritize and orchestrate resolution of issues identified during inspections.Occupant Experience
Coordinate with client and tenants on day-to-day facility management activities.Elevate occupant experience by creating a welcoming and productive environment.Foster open communication with occupants to address needs and concerns promptly.Implement initiatives to enhance occupant satisfaction, comfort, and well-being.Promote a culture of collaboration and positivity within the facility.Proactive Communication & Escalation
Maintain clear and proactive communication with all stakeholders.Establish proactive escalation processes for facility-related challenges.Provide timely updates on operations, projects, and issue resolutions.Foster transparency to facilitate effective decision-making.Financial Ownership (Including Quotes Management)
Assume financial responsibility for facility operations, including budget management.Develop budgets (O&M, transaction, capital projects, and rent) with finance and regional directors; explain approaches to clients and account teams.Use financial reports to perform monthly budget analysis and re-forecast allocations as needed.Meet annual targets per contractual performance indicators.Identify cost-saving opportunities and develop strategies to maximize financial resources.Track and report budget performance regularly.Collaboration with BGIS Self-Perform Teams
Work with BGIS teams in Janitorial, Project Management, and Technical Services to maximize efficiency and customer service.Collaborate with these teams to ensure work is completed.Vendor Management
Follow BGIS Vendor Performance and Relationship Management Program protocols with vendor support.Establish and maintain relationships with vendors and service providers.Monitor vendor performance and compliance with contracts.Manage vendor relationships to optimize service delivery and efficiency.Technology & Success
Leverage technology such as work order systems, vendor monitoring tools, BAS and CMMS to deliver effective service.Mentor staff in vendor management and technology use for vendor relationships.Guide team in using technology for financial management and career progression.Knowledge & Skills
Five to ten years’ experience in a property / facility management environment.Excellent people management and communication skills.Self-starter, able to learn and work independently.Strong planning, organizing, negotiation, and analytical skills.Knowledge of building standards and requirements; strong technical knowledge.Ability to multitask and meet deadlines under pressure.Licenses & Accreditation
Certified Facility Manager (IFMA)Certified Property Manager (IREM)Facility Management Administrator (BOMI)Real Property Administrator (BOMI)This is a regular, full-time position with a salary range of $84,493 to $105,616 per annum. Starting salary will be based on competencies, experience, education and performance related to this role.
