Job Title : Administrative Coordinator

Planning and Operational Excellence

Temporary for 12 months

Detailed Description : Today, the Royal College has over 55,000 members and the vision remains to advance the learning for specialist physicians to deliver the best health care for all. The Royal College partners and collaborates to lead the evolution of specialty medical education and standards; support specialist physicians, learners and teams to continuously improve; and advocate for excellence in specialty medicine by supporting innovation, well-being, equity and person-centered care. We are a national, nonprofit organization established in 1929 by a special Act of Parliament to oversee the medical education of specialists in Canada.

Reporting to the Associate Director, Planning and Operational Excellence and working closely with the Strategic Planning Specialist, the Administrative Coordinator is responsible for providing administrative and logistical support for the strategic planning process. Duties include planning, coordinating and supporting meetings with internal teams, committees and external partners, and organizing strategic planning materials. Meetings may include focus groups and strategic planning retreats and be both in-person and virtual.

Responsibilities (typical day-to-day)

  • Ensure logical sequencing of meetings based on project progress and attendee availability, establish milestone dates, and monitor progress.
  • Provide logistical coordination for meetings / workshops by gathering information, coordinating with hospitality, and communicating with internal and external attendees.
  • Communicate with internal and external contacts by email and / or Teams to exchange information, coordinate schedules, request support, and respond to inquiries.
  • Organize and monitor the creation of reports and documents, ensure they are created within deadlines, translated if needed, and shared with appropriate partners.
  • Establish milestone dates, monitor progress, draft and issue materials, manage schedules, and identify process improvements.
  • Record and distribute minutes and action items by attending meetings and taking notes to ensure an accurate record of discussions, decisions, and actions.
  • Prepare, gather and share information and documents for meetings by coordinating agendas and attendee materials.
  • Coordinate with external travel vendors to arrange domestic / international travel and accommodation, including visas as needed.
  • Complete expense claims and follow up with Finance on discrepancies.

Qualifications (English)

  • Level of education, training and experience equivalent to a College diploma
  • Minimum of 3 years of related experience
  • Knowledge / skills gained through study / training or on-the-job experience related to the organization and role
  • Strong coordination, organizational, time management and project management skills
  • Advanced knowledge of MS365 applications (Word, Excel, Outlook, PowerPoint, Teams, SharePoint) and virtual meeting tools
  • Attention to detail and high level of accuracy
  • Discretion and judgment with confidential data
  • Excellent verbal and written communication skills
  • Ability to support both in-person and virtual meetings
  • Knowledge / experience with Royal College governance processes is an asset
  • Bilingualism is an asset

    Relevant du directeur associé, Planification et excellence opérationnelle, et en étroite collaboration avec le / la spécialiste de la planification stratégique, vous fournirez un soutien administratif et logistique pour le processus de planification stratégique. Les tâches incluent la planification, la coordination et le soutien des réunions avec équipes internes, comités et partenaires externes, et l’organisation des documents de planification stratégique. Les réunions peuvent inclure des groupes de discussion et des retraites de planification, en personne et virtuelles.

    Responsabilités quotidiennes (français)

  • Assurer l’enchaînement logique des réunions et établir les calendriers et les jalons.
  • Coordonner logistique des réunions et des ateliers; recueillir l’information et communiquer avec les participant

  • Communiquer par courriel et / ou Teams avec les ressources internes et externes; coordonner les horaires et répondre aux demandes.
  • Organiser et surveiller la création de rapports / documents; traduction si nécessaire et diffusion.
  • Établir les dates des jalons, surveiller les progrès et identifier les améliorations des processus.
  • Dresser les procès-verbaux et distribuer les actions à prendre.
  • Préparer et partager l’information et les documents pour les réunions (ordres du jour, documents des participants).
  • Collaborer avec un voyagiste externe pour les déplacements et l’hébergement (Canada et à l’étranger) et la gestion des visas.
  • Remplir les demandes de remboursement et suivre les divergences avec les Finances.
  • Qualifications (français)

  • Études, formation et expérience équivalentes à un diplôme collégial
  • Minimum de trois ans d’expérience liée au poste
  • Connaissances ou compétences acquises par formation ou expérience pratique
  • Sens aigu de la coordination, de l’organisation et de la gestion de projets
  • Connaissance approfondie des applications MS365 et des outils de réunion virtuels
  • Souci du détail et précision
  • Discrétion et jugement pour les données confidentielles
  • Excellentes aptitudes en communication orale et écrite
  • Capacité de soutenir les réunions en personne et virtuelles
  • Connaissance des processus de gouvernance du Collège royal est un atout
  • Bilinguisme est un atout
