TITLE : Building Administrator

COMPANY : Larlyn Property Management as authorized agents for Middlesex Condominium Corporation 446

STATUS CLASSIFICATION :

Permanent; Approximately 24 Hours / Week + intervallic emergency phone monitoring

POSITION SUMMARY

Reporting to the Property Manager, the Building Administrator acts as the on-site representative of the management company and is responsible for managing all aspects of maintenance coordination and rule adherence for Middlesex Condominium Corporation No. 446 per the instruction of the management company.

JOB DUTIES

Owner and Resident Concerns

  • Responds to all resident concerns within one business day when working (48-hour period).
  • Forwards any resident concerns received that cannot be handled, or any issues of unprofessional or politically sensitive nature, to the Property Manager within a 24-hour period and enters such information in the log book.

Condominium Administration

  • Maintains current owner / resident information.
  • Maintains secure inventory of building keys including unit masters, common rooms, service or storage and supply cupboard.
  • Follows company policies and procedures with respect to issuing keys and maintaining security.
  • Ensures the Daily log book is maintained according to the standards prescribed.
  • Accepts payment by cheque or money order made out to the Condominium Corporation from owners owing as condominium fees, special assessments, NSF fees, or other charges levied to the owner ledger.
  • Reports payments received to the Accounts Receivable department within one business day of receipt and submits payments to the Management Head Office / Accounts Receivable Department as soon as possible.
  • Address rule infractions with residents to seek compliance and reports continued infractions to the Property Manager for follow-up.
  • Coordinates with trades for maintenance within the site based on the approval of the Property Manager.
  • Carries out any other administrative requirements such as : purchasing office supplies, completing incident reports or other forms as required by the Property Manager.
  • Completes other duties and tasks as assigned by the Property Manager.
  • Maintenance Supervision

  • Oversees outside trades and reports work status, completion, or non-conformances to the Property Manager and notes in the log book.
  • Oversees maintenance personnel ensuring that jobs are carried out on a timely basis and reports progress to the Property Manager and notes in the log book.
  • Investigate leaks or other issues and report to the Property Manager.
  • Fill out Building Manager Book and Fire Inspection Books regularly.
  • JOB SPECIFICATIONS

  • 13 years previous experience in building administration.
  • Excellent customer service skills and previous experience in customer service role.
  • General understanding of building care and maintenance.
  • Ability to work independently while problem solving.
  • Excellent organizational, verbal, computer and written communication skills.

    Compensation

    Annual salary range : $28,000 $30,000 annually, commensurate with experience and qualifications
