About the Role
Southland Trailers is hiring a Payment Coordinator to support accurate, timely, and well-controlled vendor payments while helping improve and modernize our payables processes.
This role is ideal for someone with a strong accounting foundation who enjoys working with vendors, maintaining clean records, and improving workflows. While the role supports Accounts Payable activities, the focus is less on repetitive data entry and more on payment coordination, vendor communication, exception handling, and continuous improvement.
As systems and automation continue to expand, this role will increasingly support process optimization and higher-value accounting tasks.
Key Outcomes (What Success Looks Like)
- Vendor payments are accurate, on time, and properly authorized
- Vendor accounts are clean, reconciled, and up to date
- Payment issues and discrepancies are resolved quickly and professionally
- Vendors experience clear, timely communication
- Payment workflows are documented and continuously improved
Key Responsibilities
Prepare, review, and process vendor payments (cheques, EFT, wires, ACH)Ensure invoices are properly coded, approved, and scheduled for paymentMonitor payment runs and resolve exceptions or errorsSupport three-way matching (PO, receipt, invoice) where applicableAct as a primary contact for vendor payment inquiriesSet up and maintain vendor records (banking, tax forms, contact details)Resolve discrepancies, missing documentation, or pricing issuesBuild positive, professional relationships with vendorsReconciliations & Controls
Reconcile vendor statements and investigate differencesSupport AP aging reviews and cleanup activitiesEnsure compliance with internal controls and payment policiesSystems & Process Improvement
Work within ERP and accounting systems to manage paymentsIdentify opportunities to reduce manual steps and improve workflowsMaintain clear documentation for payment processesGeneral Accounting Support
Assist with month-end close tasks related to AP / paymentsSupport reporting and data pulls as neededQualifications
Accounting Diploma or equivalent education2+ years experience in Accounts Payable, Payments, or Accounting SupportExperience with accounting software and ERP systemsStrong working knowledge of Microsoft Excel and OutlookComfortable working with multiple systems and learning new toolsExposure to automation tools, workflow systems, or ERP optimizationEducation or experience in Automation, Information Systems, or Computer ScienceHighly detail-oriented and organizedStrong follow-through and accountabilityProfessional written and verbal communicationComfortable working with deadlines and payment schedulesProcess-minded and improvement-orientedTrustworthy and discreet with financial informationWhy You’ll Love Working Here?
