Job Summary & Requirements
The Business Coordinator’s role is to design and support business processes related to the financial and business systems critical to the core Surgery Program functions and aligned with available information systems. This includes researching and analyzing data in support of business functions, process knowledge, and systems requirements. The Business Coordinator is involved in planning activity related to project management, budget forecasting, performance measurement, contract management and all case costing initiatives.
Key components of the position include the following : use of a variety of internal / external databases and tools to extract information, reporting on key performance indicators related to all dimensions of quality and safety; interpreting information gathered to assist colleagues in decision‑making and quality improvement; presenting and interpreting the information gathered to the Surgery Program team members for areas requiring further analysis or in‑depth review; establishing targets and benchmarks for Coordinators / directors or other colleagues and contacting superior performing organizations for best practice; and direct involvement in process improvement opportunities within the Surgery Program using LEAN principles to assess operational efficiency and identify areas of improvement.
Reporting Relationship
The Business Coordinator reports to the Operations Director of the Surgery Program.
Duties & Responsibilities
- Supports all Coordinators within the Surgery Program with project management support and performance measurement, savings tracking and contract compliance reporting.
- Liaisons with team members from RVH support programs (including Procurement and OR Purchasers, Decision Support and Finance) to support performance measurement, savings tracking and contract compliance reporting.
- Collaborates with team members from RVH support programs to complete and submit all Surgery Program Ministry funding applications and reporting.
- Engages with team members from RVH support programs on procurement agreements and contract renewals for the Surgery Program.
- Works with all team members to provide performance indicators from a variety of external sources and provides targets and benchmarks for key areas of performance.
- Supports Coordinators with activity‑based financial analysis and case costing modeling.
- Establishes an inventory of contacts and peers for all clinical areas within the Surgery Program outlining areas of strength and opportunity.
- Engages in information and data gathering for specific topics of interest to identify lessons learned from other areas that could be used in various service areas within the Surgery Program.
- Prepares performance score cards for service areas within the Surgery Program with data from various data sources.
- Integrates population health and health indicator data in reports for strategic planning and monitoring outcomes of actions for the Surgery Program.
- Integrates the many dimensions of benchmarking results by area for clinical and operational efficiency, quality and patient safety indicators.
- Partners with Decision Support and Finance to perform data‑mining and provide detailed reports from various data sources at the functional Centre level for performance indicators and national / peer performance comparisons.
- Documents existing business processes to define current business activities for the development of procedures and models and process redesign activities.
- Researches, reviews, and analyzes the effectiveness and efficiency of existing processes and develops strategies for enhancing or further leveraging these processes.
- Identifies opportunities for improvement for the purpose of enhancing business processes, patient flow and information process flow.
- Liaises with various Programs and Departments within the organization to facilitate implementation of new or improved business processes.
- Maintains current knowledge of new developments, trends, research and applies statistical process control techniques, process mapping and capacity and demand analysis.
- Supports the development and partnership agreements – such as memorandums and understandings that evolve, to support the program goals.
Qualifications
Health care experience with progressive leadership responsibilities.Surgery program experience would be an asset.Detail oriented with exceptional analytical and problem‑solving skills.Process improvement knowledge including techniques and tools of LEAN principles.Knowledge of or experience with common health databases / tools.Knowledge and experience with the CIHI Management Information Systems Framework and Scope.Knowledge and understanding of key health care performance measures (clinical, financial, utilization, efficiency) and their interrelationships in furthering strategic planning initiatives.Demonstrated excellent organizational and time management skills.Demonstrated strong leadership qualities with excellent interpersonal skills and an understanding of the importance of teamwork.Proven oral and written communication and presentation skills.Proven attendance record and ability to perform the essentials of the position.Ability to work within deadlines and to multi‑task.Ability to communicate effectively, including the ability to write reports, create presentations and speak to groups.High regard for confidentiality and advocacy for patients.Ability to travel as required.Physically able to perform assigned duties.Equity & Inclusion
