The Opportunity - Executive Assistant to the VP, Academic (Full-Time)
The Executive Assistant (EA) will be responsible for the efficient and effective administration and organization of the office of the Vice-President. The candidate will provide support to all facets related to the Vice-President portfolio and will be a key support to the executive team. The successful candidate will be highly energetic, professional, creative, and personable.

- An Organizer: Someone who assists people, processes and data to work effectively together that has an impact. They have strong attention to detail.
- A Connector: A professional who helps connect people and positively portrays the college both internally and externally.
- An Innovator: Someone who looks to improve current procedures and looks for ways to improve operations. Comfortable with technology and the use of Artificial Intelligence to enhance productivity.
- People Person: An individual who genuinely enjoys working with others, is kind and considerate of others at all time. Is a positive influence to the work culture at the college. and students.
What you will be doing:
- Coordinate and manage the Vice-President’s schedule including maintaining accurate details of events, making meeting arrangements, coordinating schedules for internal and external meetings, duties at various functions, speaking engagements, projects as well as making travel arrangements on behalf of the Vice-President.
- Draft, prepare, conduct research, review correspondence, compose routine correspondence and briefing notes, prepare confidential reports, etc.
- Provide support to the Vice President’s budget, division expenses, and generate reports, as required.
- Manage, resolve and/or direct concerns brought forward to the Vice-President by staff, students or the public. Promptly advise the Vice-President about sensitive issues within their area of responsibility.
- Receive visitors, staff, students, and formal groups to the Office of the Vice-President.
- Assist in the tracking, development, review and presentation of policies and procedures relevant to the Vice-President’s areas of responsibility.
- Utilization of strong technical skills (including AI) and the ability to learn new software quickly.
What you bring to the role:
- A post-secondary education in Business Management, Communications, English, Office Administration or a related discipline, and a minimum of five (5) years of related experience is recommended. Candidates with other combinations of education, training and experience may be considered.
- Exceptional customer service skills coupled with strong interpersonal, written and oral communication skills and a demonstrated ability to deal with sensitive issues in a discreet and confidential manner are essential.
