We are offering a long term contract employment opportunity for a Real Estate Coordinator. As a Real Estate Coordinator, you will be instrumental in managing information and correspondence related to our properties, interacting with property managers, and ensuring the smooth operation of our real estate activities.
Responsibilities :
- Efficiently handle incoming and outgoing information and correspondence from property managers, brokers, and commercial tenants
- Respond effectively to situations that require immediate attention from property managers
- Oversee records for non-routine property expenses and capital projects, ensuring projects are progressing as planned and potential risks are identified
- Generate routine correspondence and reports such as weekly occupancy reports and property and personnel reports
- Organize and participate in bi-weekly meetings, taking responsibility for preparing meeting materials, recording minutes, identifying action items, and ensuring deadlines are met
- Coordinate various meetings, conference calls, video conferences, and property site visits, including the logistics of booking meeting rooms, travel, accommodations, and catering when necessary
- Handle invoices related to real estate matters, such as property tax assessments, and ensure they are authorized and forwarded to accounting for payment
- Track and summarize insurance claims and property tax assessments
- Manage the real estate team’s calendars, appointments, and travel arrangements confidentially and efficiently
- Perform general administrative tasks such as filing, photocopying, and creating PDF files
- Proven experience in Calendar Management, with the ability to organize and prioritize tasks efficiently.
- Excellent Communication skills, both written and oral, with the ability to articulate ideas and information clearly.
- Previous experience in Meeting Coordination, demonstrating the ability to manage multiple schedules and arrange meetings accordingly.
- Proficient in Business Correspondence, demonstrating the ability to draft, edit, and proofread business letters, emails, and other forms of written communication.
