Responsibilities
- High-Stakes Coordination: Oversee complex project workflows for critical client engagements, managing seamless communication between consultants, high-profile candidates, and global C-suite stakeholders.
- Executive Calendar Management: Masterfully manage complex calendars using Microsoft Outlook, balancing rapid schedule changes across international time zones.
- Elite Deliverables: Produce, format, and proofread premium, client-facing documents, including comprehensive PowerPoint presentations, proposals, and candidate assessments under tight deadlines.
- Financial & Data Administration: Administer client agreements, manage invoicing cycles within specialized financial systems, and audit detailed expense reports with strict financial accuracy.
- Global Database Management: Maintain integrity and complete compliance within proprietary records and CRM platforms (Salesforce).
- Travel & Logistics: Orchestrate detailed domestic and international travel itineraries for senior partners and executive candidates.
- Office Ambassador: Collaborate with the internal administrative team to ensure flawless meeting logistics and occasionally greet high-profile visitors.

Qualifications
Skills
- Technical Mastery: Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Teams, SharePoint) and Adobe Acrobat. Experience with Salesforce or enterprise CRMs is heavily preferred.
- Elite Communication: Superior written and verbal English skills, with an exceptional eye for professional proofreading, formatting, and structural editing.
- High Emotional Intelligence: Absolute discretion and diplomacy when handling sensitive corporate data and board-level interactions.
- Proactive Problem Solving: Strong organizational agility with the confidence to resolve scheduling conflicts and competing priorities independently.

Requirements
- 5 to 7 years of progressive experience as an Executive Assistant, Project Coordinator, or Senior Administrative Officer.
- A robust background operating within corporate consulting, professional services, legal frameworks, or Fortune 500 environments.
- Direct experience supporting managing directors, senior partners, or C-suite executives.
- A stable, proven career pedigree demonstrating long-term commitment and professional growth.
- Ability to work fully in-office 4 to 5 days a week at the downtown Vancouver headquarters.
- Willingness to complete standard corporate background checks (criminal and education verification).
