Our mission is to provide personalized support and expert advice to individuals and businesses navigating the immigration process. We are expanding our team and looking for an organized and driven Administrative Assistant to help us streamline operations and enhance client service.Job Overview : We are seeking a proactive and detail-oriented Administrative Assistant to join our team in our Kitsilano office. This is a temporary 3-month position, with the possibility of transitioning into a full-time permanent role based on performance. The successful candidate will be instrumental in ensuring the smooth running of the office and assisting with various administrative tasks. This position requires handling client inquiries, qualifying potential clients, scheduling appointments, managing client documentation, and supporting our immigration consultant, accountant, writer, forms drafter, and document organizer.Key Responsibilities : Client Qualification : Answer phone calls from prospective clients, gather relevant information to qualify them for E2 visa services, and ensure that all client information is entered accurately into the database.Scheduling & Appointments : Coordinate and schedule appointments with clients, ensuring the consultant’s calendar is well-organized and up to date.Project Coordination : Keep track of client cases and ensure that all documentation and processes are in progress and deadlines are met. Help organize client files and monitor project timelines.Administrative Support : Handle various administrative duties, including filing, data entry, managing email correspondence, and preparing documents.Client Communication : Maintain regular communication with clients, ensuring they are kept informed about the progress of their case and answering basic inquiries when needed.Errands & Office Management : Run occasional errands, assist with office organization, and ensure supplies and systems are in place for efficient daily operations.QualificationsExperience : Minimum of 1 year of administrative or office support experience, preferably in an immigration consulting or legal services environment.Skills : Strong communication skills (phone, email, and in-person)Excellent organizational skills and the ability to manage multiple tasks and deadlinesProficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and experience with CRM systems (preferably Trello, Basecamp, LivePlan and Calendly)Strong attention to detail and ability to work independentlyPersonal Attributes : Self-motivated and proactiveAbility to prioritize tasks effectivelyExcellent customer service skillsLanguages : Fluency in English is required. Proficiency in French or another language is a plus.Additional Information : Location : This is an in-office position located in Kitsilano, Vancouver, BC.Job Type : This is a temporary 3-month placement with consideration for a full-time permanent role based on performance.Salary : $22 - $25 per hour, depending on experience.Hours : Full-time, Monday through Friday, 9 : 00 AM – 5 : 00 PM.Benefits : Competitive salary and benefits package after the 3-month temporary period, subject to full-time conversion.
