About the Role

As a key member of our Rentals team, the Rentals Administrator plays an important role in ensuring our internal and external customers have the right equipment to get the job done safely and efficiently. This position is responsible for administrative support of our Rentals operations.

Essential Job Functions:

  • Coordinate purchase orders for rentals, repairs, maintenance, and third-party services.
  • Ensure accurate coding, cost allocation, and all customer requirements are met.
  • Maintain knowledge of rental fleet operations, customer contracts, equipment utilization, and supporting documentation to facilitate tracking and reporting.
  • Review work orders and supporting documents to prepare, validate, and process accurate customer invoices, including rental charges, repairs, and other billable items.
  • Resolve billing discrepancies, respond to customer inquiries, and submit invoices through customer portals and electronic invoicing systems.
  • Support financial reporting by preparing month-end accruals, maintaining records, generating operational and financial reports, and providing audit documentation as required.
  • Drive process improvements, ensure compliance with company policies and contractual obligations, and adapt to changing priorities.

Knowledge, Skills and Abilities:

  • Strong verbal and written communication skills with a customer-focused approach.
  • High level of professionalism, integrity, and confidentiality.
  • Excellent organizational, time management, and prioritization skills with the ability to meet deadlines.
  • Strong attention to detail, accuracy, information management, and problem-solving abilities.
  • Solid understanding of basic accounting and billing principles; proficient in Excel.
  • Experience with Cortex, OpenInvoice, ETS, or FileMaker is considered an asset.

Education and Experience Requirements:

  • High School or GED
  • Degree in related field preferred
  • 1-2+ years' proven working experience in an administrative role
