Description de posteHandle all non-licensed steps in the workflow technology platform, ensuring efficient processing and smooth coordination of tasks. Execute trades based on the instructions and guidance provided by licensed advisors. Process recurring events efficiently (systematic contributions, withdrawals, RIF / LIF payments etc. adhering to established procedures and guidelines on our technology platform. Assist in pre-populating necessary documents on appropriate technology platform for client meetings, ensuring readiness and efficiency. Update comprehensive financial plans and relevant information in financial planning software such as Conquest, ensuring all data is accurate and up to date. DocuSign preparation and post meeting follow-up. Send agenda out in advance of client planning seasons Ongoing communications with clients by email, phone or the occasional text. Managing our digital newsletter platform. We add value to our clients’ lives by reminding them of important deadlines and opportunities. Your help in outreaches such as the following will be critical : Retirement Planning, Financial & Cash Flow Planning, Tax Planning, Estate Planning and Risk Management. Interact on our behalf on social media platforms, mainly LinkedIn. Assist in scheduling social media posts and marketing campaigns to promote our firm's services. Update and maintain client data in Wealthbox, ensuring accurate and organized records. Manage online access for clients, facilitating secure and appropriate access to relevant information. Using data from Wealthbox and investment management systems maintain weekly / monthly updates for our KPIs on Ninety.io to prepare for effective regular team meetings. Digital filing, establishing and maintaining client’s information securely in their own online “vault.” Using our digital assistant “Zocks” to file transcribed notes into client records and schedule any tasks pursuant to our meetings. Working with in-bound marketing and leads, entering relevant information into the Customer Relationship Management (CRM) system. Following up when prospective clients make inquiries or when they download or participate in any of our “lead magnets” or questionnaires. Managing the Sales & Opportunity Funnel on our Client Relationship Management system (CRM.). The 3 key skills for this role would be Technology skills, People Skills, Marketing Skills Although financial Industry experience is a definite asset, it is not a requirement. Our clients’ business is dependent on technology. As such, they are very interested in your experience in managing and implementing technological applications and how to improve them working together. Strong understanding of workflows and workflow management. Excellent technological aptitude and willingness to learn new tools quickly. Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, etc. Familiarity with many of the following systems is an asset, but not required : Ndex, Wealthbox, FutureVault, Conquest, DocuSign, Canva, Mailchimp. ChatGPT. Outstanding organizational skills and attention to detail. Understanding of inbound marketing. A high level of professionalism and dedication to client service. Strong communication & people skills, both written and verbal.

The Client : Our client, along-established portfolio management firm with an excellent record of managing the wealth of HNW clients, seeks a professional Clients Service Associate for their growing team in the Richmond, British Columbia area. In this hybrid role, with an office attendance requirement of one to two days per week, you will be responsible for supporting the Portfolio Management team by providing optimum service and support to the organization and their clients.
