The Office of Business, Operations and Strategic Affairs (BOSA), under the direction of the Chief Administrative Officer, provides leadership and oversight for the administrative functions and overall operational management of the University of Toronto Scarborough (UTSC) campus. The Office works collaboratively with senior leaders across the University to develop integrated, long-term plans that support the University’s academic, research, and community goals while ensuring campus growth is sustainable, adaptable, and aligned with evolving economic and technological needs.
BOSA’s portfolio includes a wide range of administrative and operational areas, such as:
• Business Development (including Retail & Conference Services, Food & Beverage Services, partnerships with Aramark, and external hospitality ventures)
• Campus Safety & Security

Your opportunity:
Reporting to the Executive Assistant to the CAO and Office Manager, the role provides administrative support to the broader Business, Operations and Strategic Affairs portfolio.
The Administrative Assistant acts as the first point of contact to respond to enquiries. The incumbent will coordinate meeting schedules, agendas, materials, action and follow-up items, including scheduling appointments, maintaining calendars, and resolving scheduling conflicts. The Administrative Assistant will coordinate tasks and event/programming logistics, collate and organize materials, maintain and update filing systems and databases, and make minor purchases.
Your responsibilities will include:
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Handling sensitive and/or confidential information
- Creating and updating records
- Maintaining information on digital platforms
- Keeping well-informed on University programs, policies and procedures
- Determining logistical details and activities for events and/or programming
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum five years of recent and related experience providing administrative support, including event logistics and processing payroll.
- Demonstrated experience coordinating meeting schedules, agendas, materials, action and follow-up items and scheduling appointments.
- Demonstrated experience creating, writing, and editing content and correspondence.
- Demonstrated experience providing administrative support to senior staff.
- Experience in filing systems and records management.
- Experience with database management and document management systems.
- Must have strong computer skills, including a high degree of functionality in the use of all Microsoft Office applications and SharePoint.
- Strong analytical, problem-solving, and decision-making abilities.
- Superior interpersonal skills with the ability to interact professionally and diplomatically with diverse stakeholders.
- Excellent written and verbal communication skills; demonstrating attention to detail and accuracy, keyboarding and appropriate formatting.
- Strong organizational and time management skills, with the ability to manage competing priorities and tight deadlines.
- Ability to work independently with minimal supervision as well as collaboratively within a team environment.
- High level of discretion and the ability to maintain confidentiality for sensitive and/or confidential matters.
