About the Role
Reporting to the Youth Programming Manager, the Program Coordinator leads the development, coordination, and delivery of youth programming initiatives within established departmental priorities and approved budgets. The role oversees program design and curriculum development, coordinates seasonal staff training and scheduling, and ensures high-quality program implementation. The Program Coordinator provides mentorship and supervision to seasonal program staff, supports ongoing staff development, and monitors program quality and outcomes. Through active program evaluation and continuous improvement efforts, the role ensures programs are delivered effectively and in alignment with departmental strategy. This is an on-campus, in-person position.
The Program Coordinator must have flexible hours for the months of July and August (the hours of work are between 7:00am – 6:00pm). This is a full-time, permanent role working 35 hours per week.
Responsibilities
Program Design and Development (30%)
- Support end-to-end program development, including creating new program concepts, evaluating and retiring offerings that are no longer feasible, developing program rationales and descriptions, establishing program names and themes, and designing detailed curriculum and lesson plans.
- Coordinate approved third-party partnerships to diversify and enrich program offerings.
- Maintain continuous oversight of program performance through real-time monitoring of outcomes, participant feedback, and delivery quality, implementing adjustments as required.
- Develop seasonal and annual supplies plans aligned with curriculum requirements and enrollment projections.
- Organize curriculum documentation to ensure consistency, quality control, and scalability across seasons.
- Ensure programs are delivered in alignment with established learning outcomes, quality standards, and approved financial parameters.
Staff Coordination (25%)
- Assist with recruiting, interviewing, selecting, training, and supervising seasonal program staff in alignment with departmental standards and in collaboration with the Youth Programming Manager.
- Create and monitor seasonal staffing schedules to ensure appropriate coverage, ratio compliance, and operational efficiency.
- Supports performance assessments for seasonal staff, including documented feedback, mid-season check-ins, and formal end-of-season assessments to support professional development.
- Observe program delivery and provide mentorship, coaching, and performance feedback to seasonal staff.
Operational Structure and Procedures (15%)
- Coordinate logistical planning, including alignment of space requirements, supply distribution, and resource readiness in collaboration with administrative staff.
- Establish and uphold clear program structures, daily schedules, and operational workflows to ensure consistent delivery across all offerings.
- Develop and maintain program-specific procedures, standards, and implementation guidelines to support scalability and consistency.
- Monitor adherence to established operational procedures and address gaps or inconsistencies as they arise.
- Support the continuous improvement of operational processes to enhance efficiency and participant satisfaction.
Quality Assurance and Reporting (15%)
- Address operational challenges and emerging concerns by implementing timely solutions to maintain program quality and participant experience.
- Monitor program performance indicators, including enrollment trends, participant and parent feedback, staff observations, and operational metrics.
- Analyze survey results and performance data to identify opportunities to strengthen program quality, participant engagement, and overall experience.
- Provide program performance analysis, outcome summaries, and key insights to inform the Annual Report and public Impact Report.
- Contribute data-informed insights and recommendations to strategic planning discussions within approved departmental parameters.
- Participate in post-program debriefs to evaluate outcomes, document key learnings, and identify actionable improvements for future delivery cycles.
Risk, Compliance, and Safety Oversight (10%)
- Advocate for a culture of inclusion, safety, professionalism, and respect across all program environments.
- Support the refinement of training materials related to health, safety, and risk awareness.
- Identify, communicate, and mitigate operational risk and hazards, escalating concerns as appropriate.
- Collect, review, and document all incident and accident reports in a timely manner, ensuring accuracy, completeness, and appropriate follow-up.
- Collaborate with health and safety-related cross-functional partners to mitigate risks associated with youth programming.
Marketing and Community Engagement (5%)
- Collaborate with the Marketing and Communications Department to provide program-specific content, descriptions, and insights for promotional initiatives.
- Represent the Youth Programming Department at community and recruitment events as required.
- Support grant and sponsorship initiatives in collaboration with the Foundation Department and Youth Programming Manager.
- Promote MRU Camps through guest speaking opportunities at community engagement events as they arise.
- Coordinate charitable community engagement initiatives in partnership with local non-profit organizations.
Qualifications
- Completion of a three or four year bachelor degree or equivalent.
- A minimum of two to three years of previous experience in recreation management, kinesiology, education, business administration, or related field.
- Demonstrated proficiency in Google Workspace, including Drive, Docs, Sheets, Forms, and Calendar.
- Basic budgeting skills.
- Curriculum and lesson planning development.
- Strong organization and time-management skills.
- Ability to work both independently and as part of a team.
- Previous supervisory experience is considered an asset.
- Previous experience with recreational registration software or similar CRM platforms is considered an asset.
- The successful candidate will be required to obtain a Police Information Check with a Vulnerable Sector Search and complete Standard First Aid and CPR-C certification.
