Job Overview

The ideal candidate is driven to succeed, eager to learn from top business leaders, and thrives in an environment where adaptability and critical thinking are key . They will support the Board of Directors and Program Manager , playing a critical role in operations, business development, and Board support.

This position demands a high degree of professionalism, discretion, and the ability to anticipate needs before they arise . Flexibility in work hours is required to accommodate business priorities and deadlines, including after-hours meetings when necessary.

Key Responsibilities :

  • Provide administrative support to the Board of Directors and Program Manager.
  • Manage schedules, appointments, and meetings, ensuring effective time management for various Executives.
  • Handle correspondence, emails, and phone calls professionally and promptly.
  • Prepare reports, presentations, and documentation as needed.
  • Maintain and organize files, records, and databases.
  • Keep track of tasks, deadlines, and project milestones to ensure timely completion.
  • Maintain financial records, track expenses, and assist with budget management.
  • Transcribe meetings and keep accurate notes for reference and follow-ups.
  • Support special projects which may include writing, editing, and formatting documents, building slide decks for both internal and external use.
  • Collaborate with internal departments to support ongoing projects.
  • Perform other duties as assigned to support business operations.

Essential Duties & Responsibilities

  • High-Level Support & Strategic Execution :
  • Assist the Board of Directors and Program Manager in executing strategic initiatives and managing high-priority projects .

  • Track and drive critical tasks and deadlines , ensuring seamless project execution.
  • Executive-Level Administrative Support :
  • Manage complex schedules and meetings.

  • Handle confidential correspondence, emails, and communications with professionalism.
  • Support the preparation of high-quality reports, proposals, business plans, and presentations .
  • Technology, Research & Business Development :
  • Utilize AI tools, project management platforms (Asana, Monday.com, etc.), and data visualization software to drive efficiency.

  • Support Grant writing initiatives.
  • Operational & Process Optimization :
  • Improve business processes and provide operational recommendations.

  • Support event planning, stakeholder engagement, and business development activities .
  • Collaborate across departments to streamline workflows and enhance productivity .
  • Qualifications & Skills :

  • Education : High school diploma required; Associate's or Bachelor's degree preferred.
  • Experience : Prior administrative or office support experience preferred.
  • Technical Skills : Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite, Financial receipt management and other office management tools.
  • Software & Tools : Ability to use AI tools, online platforms, and project management software such as Monday.com.
  • Presentation & Design : Experience in building presentations and basic design work.
  • Communication : Excellent verbal and written communication skills.
  • Organization : Strong ability to multitask, prioritize tasks, and meet deadlines.
  • Attention to Detail : High level of accuracy and professionalism.
  • Problem-Solving : Ability to anticipate needs and resolve administrative challenges efficiently.
  • Confidentiality : Maintain discretion and handle sensitive information responsibly.
  • Flexibility : Ability to adapt to changing work hours and business demands as needed, including after-hours meetings.
