Position Description
The Manager, Conferences and Events is responsible for account management and assisting in the planning and execution of conferences and events for Pace Group clients. Project work may include business conferences, public festivals, public and stakeholder engagement, media events, fundraising events, venue management, and others.
Responsibilities Include but are not limited to :
- Provide leadership and strategic direction to Pace Group clients on the development and implementation of a variety of communications and event-based initiatives
- Project management, including the development and implementation of plans, systems, processes, information management, and procedures essential for the effective and efficient coordination of the project
- Regular client reporting, including regular communication, meetings and approvals, meeting minutes, agenda and action item management
- Developing and implementing event communications plan, marketing and advertising strategies
- Sponsorship planning including, developing a sponsorship program, identification and approach of potential sponsors, contract management and sponsor fulfillment
- Managing small tradeshows, exhibitors and informational displays (often tied to conferences)
- Procurement, set-up and management of on-line registration platforms and virtual / hybrid event platforms
- Identifying, contracting and managing required venue and event suppliers
- Identifying, contracting and managing event moderators, speakers, elders, entertainers, etc.
- Developing and implementing transportation plans
- Access control, crowd control and security planning
- Production planning, run-of-show development, writing speaking notes
- Develop and monitor client event budgets
Qualifications
University or post-secondary degree in a related fieldMinimum 6 years of event logistics experience in an agency or business environmentExperience managing accounts and clientsExperience working with the media, community and corporate partnersExperience working with online registration or data management systems an assetExperience with virtual and hybrid event technologies an assetEnthusiastic, outgoing, hardworking, mature, positiveExcellent communications, interpersonal skills and attention to detailStrong ability to organize and prioritize a multi-task workloadAbility to take initiative, exercise tact and discretionAbility to work both independently and collaboratively with others in a team situationFlexible and adaptable to constantly shifting situations and prioritiesCommitted to meeting tight deadlinesEffective project management skillsClosing date : Open until position is filled
