HireArt is helping our client find a Document Support Specialist to join its Procurement and Logistics team.
In this role, you will support the creation, accuracy, and ongoing maintenance of critical internal documentation across the organization. You will work closely with cross-functional teams to ensure that processes, policies, and compliance documents are accessible, up-to-date, and aligned with company standards.

As a Document Support Specialist, you'll :
- Prepare payments, review and approve invoices, payment orders, and the submission of ready-for-payment requests to Accounting and Treasury in line with established procedures.
- Monitor approval workflows by reviewing, formatting, validating accuracy, and ensuring compliance.
- Control payment timelines, analysis of payment rejections or returns, and resolution of comments and issues to ensure a smooth and timely payment process.
- Create, update, and maintain internal documentation, templates, and process guides across multiple business functions.
- Ensure all documents meet company standards for branding, formatting, clarity, and version control.
- Maintain document repositories and knowledge bases in tools such as Notion, Google Workspace, and internal platforms.
- Support Procurement and Logistics teams by documenting workflows, vendor processes, onboarding materials, and compliance requirements.
- Ensure documentation is audit-ready and aligned with internal controls and regulatory expectations.
- Support cross-functional projects that require structured documentation or procedural guidance.
Requirements
3+ years of experience in documentation support working with ERP systemsStrong proficiency in Oracle, NetSuite, and ZIPClear understanding of the end-to-end process from procurement to delivery in international companiesStrong communication skills and the ability to work with technical and non-technical teamsAbility to work independently, prioritize effectively, and manage multiple document pipelinesComfortable working in a dynamic, fast-changing environmentTeam-oriented mindset with a proactive approach to improvementsPreferred Qualifications :
Experience in a technology, engineering, logistics, or manufacturing environmentExposure to procurement or supply-chain documentation processesBenefits :
