Position Overview / Sommaire du poste

We are seeking a highly organized, proactive, and bilingual Executive Assistant to provide comprehensive support to our executive leadership team. The successful candidate will play a key role in ensuring efficient office operations, managing sensitive information, and representing Admiral Security with professionalism and discretion.

Key Responsibilities / Responsabilités principales

  • Manage executive calendars, schedule meetings, and coordinate appointments
  • Gérer les agendas des dirigeants, planifier les réunions et coordonner les rendez-vous
  • Prepare, proofread, and manage confidential correspondence and reports
  • Préparer, réviser et gérer la correspondance et les rapports confidentiels
  • Organize and support meetings, including agenda preparation and minute-taking

  • Act as a liaison between executives, staff, clients, and external partners

  • Coordinate travel arrangements and logistics

  • Assist with project tracking and document management

  • Conduct research and prepare executive-level reports as needed

Qualifications

  • Post-secondary diploma or degree in business administration, office management, or related field
  • Diplôme postsecondaire en administration, gestion de bureau ou domaine connexe
  • Minimum 2 years’ experience as an Executive Assistant or in a senior administrative role
  • Minimum de 2 ans d’expérience comme adjoint(e) de direction ou dans un rôle administratif similaire
  • Bilingual (English and French) with excellent written and verbal communication skills
  • Bilingue (anglais et français) avec d’excellentes compétences en communication écrite et orale
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
