JOB PURPOSE :
The Payroll and Benefits Specialist is responsible for processing a weekly payroll for approximately 150 salaried positions and supervising the administration of payroll for 1300 hourly employees. This position is responsible for the development and maintenance of the payroll and Workforce Management (WFM) modules within the Human Capital Management system (HCM). This role is also responsible for the administration and reporting of the pension and benefits programs.

KEY JOB FUNCTIONS / ROLES / RESPONSIBILITIES :
Payroll
Ensure accurate and timely processing of weekly payroll for hourly and salaried groupsEnsure pay policies and processes adhere to legislative requirementsMaintain up to date and accurate electronic records and filing systemsEnter all new hire information, changes and terminations for salaried employeesProvide payroll reports as requiredInput and track request for garnishments made by the appropriate authorities ensuring that the correct amounts are deducted and remitted to those authorities on an as required basisTrack and provide payment amounts for required remittancesCommunicate as appropriate with tax authorities regarding requests for information pertaining to current and past Company employeesPrepare employee letters to confirm employment and respond to internal and external payroll related requests for informationComplete records of employment within seven (7) days of earnings interruptionsBalance and issue T4's on an annual basis ensuring accuracy before printingComplete all year end reconciliations, including the annually WSIB and EHT filingsComplete annual vacation pay allocation and payout processPoint of contact for salaried payroll questions and hourly complex questionsHRIS System
Maintain HRIS and Time and Attendance SystemTrain and support users of the HRIS and Time and Attendance SystemManage system upgradesInvestigate and implement system improvementsMaintain and update backend policies and securityPension
Resolve issues with weekly file feeds to insurance carrierPrepare and manage pension enrollment processPrepare Form 7, Annual ReturnsOrganize information sessions and ensure completion of paperwork for new enrollmentsEnsure adherence to legislative requirementsBenefits
Update Dayforce with all changesUnderstand how Dayforce feeds into the benefits providers systemManage monthly benefits billing and send to finance for processingCreate and distribute reports as requiredEnsure adherence to legislative requirementsPersonal Development
Attend company required trainingRemain current with technical knowledge in areas of responsibilityAttend regular 1 : 1 coaching / update sessionsQUALIFICATIONS :
5 years' experience in a Payroll / Benefits administration positionPLP certification or equivalent is preferred, PCP certification is requiredOrganizational skills, proactive thinking, and attention to detailHRIS / payroll / time and attendance system experience, Dayforce experience is preferred with backend knowledgeExperience with insurance carrier portalsExcellent interpersonal skills with focus on professionalism and confidentialityExcellent customer service skillsDemonstrated computer skills (MS Word, Excel, Outlook)KEY COMPETENCIES
