General Description
The Catering Manager at Fox Harb’r Resort is responsible for managing and executing the Corporate and Incentive markets, operating as a one‑stop resource for clients. Duties include drafting contracts, setting room and catering files, collecting deposits, preparing banquet event orders, and overseeing detailed execution by banqueting staff during events. The Director of Catering & Conference Services assigns customer accounts to the Catering Manager as appropriate, and the Manager functions as a client account manager, ensuring timely communication with all stakeholders and focusing on customer satisfaction and excellence in service.
Qualifications & Requirements
- Work experience of at least 2 years in catering and/or conference services.
- Knowledge of resort suites (asset).
- Knowledge of food and beverage products, including presentation.
- Knowledge of meeting room capabilities, banquet set‑up, audio‑visual, and other related details.
- Strong communication skills, both verbal and written.
- Proficient computer skills, including Microsoft Word and Excel.
- Exceptional organizational and attention‑to‑detail.

Responsibilities
Administrative
- Achieve budgeted revenues for market segments as directed by the Director of Conference Services.
- Complete forecast reports for assigned clients/markets as required.
- Work with outside vendors to ensure client satisfaction for all events and groups.
- Apply knowledge of all laws relevant to event planning.
- Understand the impact of banquet operations on overall event success and collaborate with banquet and culinary teams to maximize client satisfaction.
- Adhere to and reinforce all standards, policies, and procedures.
- Participate in resort goals related to sanitation and environmental responsibility.
- Ensure that every planner submits input through a Fox Harb’r Group Survey.
- Attend and participate in all pertinent meetings as a member of the Leadership team at Fox Harb’r Resort.
- Evaluate current revenue practices and make recommendations to maximize the profitability of the Catering & Conference Services resources.
- Ensure full compliance with resort operating controls and seek innovative ways to improve performance regularly.
- Assure the cleanliness and orderliness of the Catering & Conference Services premises.
Operations
- Review the contract prepared by the sales team (seeking assistance for any unusual items or clauses from the Director of CS) for execution.
- Record and reissue contract amendments when changes occur after the fact.
- Manage room block and space block for assigned groups.
- Continuously evaluate room blocks and meeting space usage, and attend weekly yield/review meetings with the Director of Catering.
- Take charge of all event arrangement activities to facilitate event details.
- Negotiate food and beverage prices, function space, and hotel services within approved departmental booking guidelines; any deviation requires approval by the President.
- Attend weekly BEO and any resume meetings, working closely with the banquet department on operations and meeting execution.
- Ensure that the CS Coordinator represents Catering Manager markets during the daily BEO review meeting with operating departments (Culinary, Banquets, Housepersons, Guest Services, Shuttle, etc.).
- Conduct site inspections for booked events; host planners and tastings as required.
- Develop a working relationship with clients to facilitate future business bookings.
- Coordinate with planners to develop service schedules for events (Banquet Event Orders) and customer event resumes for multi‑day meetings/groups within one’s market.
- Work closely with resort departments involved in servicing groups, updating them on any revisions to meeting or event arrangements (e.g., change orders).
- Conduct pre‑conference briefing meetings (RESUME MEETINGS) for larger or more complicated events, ensuring all operating guest‑facing departments are briefed to meet the planner.
- Attend the “Introduction of Banquet Lead” on day one of meetings and/or events.
- Provide clarity on BEOs to ensure proper financial posting of meeting planner accounts by accounting.
- Respond to and handle guest problems and complaints.
- Actively participate as a member of the Sales and Conference Services team and as a member of the Resort Team, maintaining a positive attitude, providing support, and abiding by all department and resort policies.
