The Regina Open Door Society (RODS) is a non-profit organization that provides settlement and integration services to refugees and immigrants in Regina. Position Summary

The Program Support is responsible for providing administrative and financial support for the RODS Employment Services Department. This position serves as the central hub for departmental activity, acting as the first point of contact for newcomer clients while managing reports, ordering supplies, administering supplies, and assisting with department finances. The position requires strong customer service, communication, and problem-solving skills, including the ability to respond independently to constant challenges and changes while maintaining discretion and professionalism at all times.

Requirements

  • Post-secondary education in Business / Office Administration, Finance, or a related field
  • Minimum 3 years of experience in an administrative role with emphasis on client and financial support
  • Experience in financial processing, including purchase orders, invoices, reimbursements, and tracking expenses
  • Strong technological skills; Advanced skills in MS Office Suite, particularly Excel, Word, and Outlook, and experience working with databases
  • Proficiency in using a variety of office equipment
  • Exceptional attention to detail and accuracy in data entry and financial record-keeping
  • Proven ability to handle multiple tasks, meet strict deadlines, and work effectively in a fast-paced environment
  • Excellent customer service, interpersonal, communication (both verbal and written), collaboration, and organization skills.
  • Excellent telephone etiquette
  • Experience working in a multi-cultural setting.
  • Demonstrated experience and sensitivity in working with newcomers to Canada, including those with limited English language skills
  • Proven accountability, resourcefulness, initiative, and professionalism
  • Ability to maintain strict confidentiality as dictated by RODS HR Policies and Procedures

Duties and Responsibilities

  • Prepares pre-approval requests for Manager's signature, orders, receives, and stores / distributes purchased office supplies for the program
  • Process program-related invoices and staff / client reimbursements within required timelines, ensuring they are coded, signed, and completed
  • Maintain up-to-date budget tracking sheets for various budget lines within the department and provide a monthly report to the Manager
  • Reconcile internal tracking sheets with central financial records to identify and resolve discrepancies
  • Maintain organized filing systems for all financial documents and receipts
  • Take administrative oversight of all the Employment Services technology and technology-related item and matters
  • Act as the primary administrative point of contact for the Employment Services department
  • Provides a welcoming environment for clients and staff at RODS Employment Services
  • Provide reception support, including client intake and directing inquiries to appropriate staff
  • Answers general phone inquiries in a professional and courteous manner; directs phone inquiries, voice mails and e-mails to appropriate staff members
  • Responds to inquiries about RODS programs, Employment Services programs, etc.
  • Oversees office and equipment maintenance requests for the department
  • Assists managers and staff with special events, activities, training (e.g. PD days, Employment Services events, etc.).
  • Performs other position-related duties as needed.
  • Salary Level
  • The annual salary for this position starts at $ 37, 667.72 ($ 21.46 per hour) at Step 1 of RODS' Admin Category 1. Pay periods are the end of the day on the 15th of the month and the end of each month.

    Working Conditions and Application Instructions

    The standard work hours are Monday – Friday, 8 : 00 AM – 4 : 30 PM, with an hour unpaid lunch break and earned day off (EDO) every second week.

    All positions at RODS require a clean criminal record check. There is a cost- shared benefits package and a 3% pension contribution available to the employee upon successful completion of a six- month probationary period.
