Office Assistant

Location: Onsite - Montreal

Hours: 10:00am to 6:00pm

Key Responsibilities:

Office Operations & Administration

  • Manage reception and daily office operations to ensure a professional and welcoming environment
  • Ensure compliance with building standards and health & safety requirements
  • Maintain overall office cleanliness and organization, including daily tidying and light cleaning
  • Manage coffee machine cleaning and basic maintenance
  • Receive, unpack, and organize weekly supply deliveries
  • Stock and organize office, kitchen, and pantry supplies; monitor inventory and place orders as needed
  • Prepare and set up lunch for employees; ensure common areas are clean before and after meals
  • Organize storage areas, supply closets, and shared office resources
  • Coordinate office maintenance, repairs, and building management requests
  • Support internal documentation and administrative processes

Team & Executive Support

  • Provide day-to-day administrative support to the Office Manager and teams
  • Assist with calendar coordination, meeting logistics, and room bookings
  • Prepare meeting rooms and ensure materials, technology, and catering are in place
  • Support the Executive Assistant team with company events, meetings, and offsites
  • Assist with travel arrangements as required
  • Collaborate with remote teams and provide cross-functional support
  • Build and maintain relationships with vendors and service providers, including sourcing and coordination

Events & General Support

  • Support the planning and execution of internal meetings, summits, and offsite events
  • Assist with pre-event preparation and post-event follow-ups
  • Run errands as needed
  • Assist with inventory tracking and periodic inventory checks, including at external properties
  • Support ad-hoc operational projects and day-to-day needs
  • Perform any other tasks as requested by the manager, in support of office and operational needs

Qualifications

  • Minimum of one (1) year of experience in a corporate or professional office environment
  • Strong organizational and communication skills, with excellent attention to detail
  • Ability to multitask, prioritize, and adapt in a fast-paced environment
  • Proactive, reliable, and able to identify and resolve issues independently
  • Comfortable with hands-on and physical tasks, including lifting up to 50 pounds
  • Valid driver’s license and ability to drive when required (personal vehicle not required)
  • Proficiency in Microsoft Excel and Google Workspace, including Google Calendar
  • Fluency in both English and French, spoken and written

Responsabilités principales:

Opérations de bureau et administration

  • Gérer l’accueil et les opérations quotidiennes du bureau afin d’assurer un environnement professionnel et accueillant
  • Veiller au respect des normes de l’immeuble ainsi que des exigences en matière de santé et de sécurité
  • Maintenir la propreté et l’organisation générale du bureau, incluant le rangement quotidien et le nettoyage léger
  • Assurer le nettoyage et l’entretien de base de la machine à café
  • Recevoir, déballer et organiser les livraisons hebdomadaires de fournitures
  • Gérer et organiser les fournitures de bureau, de cuisine et du garde-manger; suivre l’inventaire et passer les commandes au besoin
  • Préparer et mettre en place les repas pour les employés; s’assurer que les espaces communs soient propres avant et après les repas
  • Organiser les espaces de rangement, les placards et les ressources partagées du bureau
  • Coordonner les demandes d’entretien, de réparations et les communications avec la gestion de l’immeuble
  • Soutenir la documentation interne et les processus administratif

Soutien aux équipes et à la direction

  • Fournir un soutien administratif quotidien à la gestionnaire de bureau et aux équipes
  • Aider à la coordination des calendriers, à la logistique des réunions et aux réservations de salles
  • Préparer les salles de réunion et s’assurer que le matériel, la technologie et le service de traiteur soient en place
  • Soutenir l’équipe des adjoint(e)s de direction dans l’organisation d’événements, de réunions et de retraites corporatives
  • Aider à l’organisation des déplacements, au besoin
  • Collaborer avec les équipes à distance et offrir un soutien interfonctionnel
  • Développer et maintenir des relations avec les fournisseurs et prestataires de services, incluant la recherche et la coordination
Événements et soutien général
  • Soutenir la planification et l’exécution des réunions internes, sommets et événements hors site
  • Participer à la préparation avant les événements et aux suivis après ceux-ci
  • Effectuer des courses au besoin
  • Aider au suivi de l’inventaire et effectuer des vérifications périodiques, incluant dans des sites externes au besoin
  • Soutenir des projets opérationnels ponctuels et les besoins quotidiens
  • Effectuer toute autre tâche demandée par la direction afin de soutenir les opérations du bureau

Qualifications
  • Minimum d’un (1) an d’expérience dans un environnement de bureau corporatif ou professionnel
  • Excellentes compétences organisationnelles et de communication, avec un grand souci du détail
  • Capacité à gérer plusieurs tâches, à établir les priorités et à s’adapter dans un environnement dynamique
  • Personne proactive, fiable et capable d’identifier et de résoudre les problèmes de façon autonome
  • À l’aise avec des tâches manuelles et physiques, incluant la capacité de soulever jusqu’à 50 lb
  • Permis de conduire valide et capacité de conduire lorsque requis (véhicule personnel non requis)
  • Maîtrise de Microsoft Excel et des outils Google Workspace, incluant Google Agenda
  • Maîtrise du français et de l’anglais, à l’oral et à l’écrit
