We are looking for a Payroll Specialist to join our team in our Montreal office!
Under the supervision of the Pay Master, the Payroll Specialist is responsible for the full-cycle payroll processing for a nationwide organization. Ensuring data accuracy, compliance with government regulations, and system integrity, while providing professional and rigorous support to employees and internal partners.

Your Day as a Payroll Specialist
Payroll Processing
- Perform full-cycle payroll, including new hires, terminations, promotions, transfers, status changes, and various updates.
- Prepare and process payroll cycles according to the established schedule.
- Process variable payments such as commissions, premiums, bonuses, and special adjustments.
- Calculate and verify retroactive pay with accuracy.
- Prepare Records of Employment (ROE) and ensure compliance.
- Ensure the accuracy of earnings, deductions, taxable benefits, and contributions.
Compliance, Remittances & Period-End Activities
- Reconcile and submit government remittances (federal and provincial).
- Participate in year-end activities, including the production of tax slips (T4, RL-1, etc.) and annual reports.
- Support internal and external audits.
- Ensure adherence to payroll-related laws and policies within a multi-province organization.
Accounting & Analysis
- Prepare journal entries and reconcile G/L accounts related to payroll.
- Extract, review, and submit various invoices (e.g., group insurance premiums).
- Calculate and validate insurance premiums (employee and employer portions).
- Validate contributions to group savings plans, including RRSP, DPSP, and TFSA plans; ensure amounts are compliant and perform required adjustments.
- Prepare various payroll, budget, and compliance-related reports.
Data & System Management
- Ensure data integrity within the payroll system.
- Work efficiently with the payroll system (UKG strongly preferred).
- Maintain and improve processes, documentation, and internal controls.
- Collaborate with HR, Accounting, Finance, and operational managers.
Other Responsibilities
- Provide professional and courteous internal customer service.
- Perform any other related duties.
Our Ideal Candidate
- Minimum of 5 years of experience in a similar role.
- College diploma or equivalent, ideally in Accounting or Human Resources.
- PCP certification from the National Payroll Institute (or in progress — strong asset).
- Experience in a nationwide, multi-province organization.
- Experience processing payroll for a 1,500+ employee across multiple divisions.
- Excellent command of MS Office tools, especially Excel (advanced level).
- In-depth knowledge of an integrated payroll system, ideally UKG (UltiPro).
- Strong understanding of federal and provincial payroll and employment legislation.
- Bilingual with strong verbal and written communication skills in French and in English as the candidate will be required to interact in English with stakeholders (colleagues and clients) outside Quebec.
- High level of accuracy, attention to detail, and thoroughness.
- Professionalism, sound judgment, and ability to handle confidential information.
- Ability to work under pressure, manage tight deadlines, and handle a high workload.
- Adaptability to change and a continuous improvement mindset.
- Strong teamwork and collaboration skills.
- Strong internal customer service orientation.
