Job Description
The Administrative Assistant is responsible for providing day-to-day administrative support to the Relationship Management Team in CPP Investments’ Toronto office. This will include managing calendars, meetings, expenses, events, presentations, travel, CRM, and group initiatives.
Role-specific Accountabilities :
General administrative support to the team including coordinating and booking travel arrangements, handling expenses, course registrations, etc.Work closely with internal and external stakeholders and assistants to schedule meetings or events in various cities, including room booking and set-up, guest registration and catering orders as neededEnsure Relationship Team members are prepared for all meetings and carry forward action items, and are aware of major deadlinesEdit and proof-read documents, group communication and PowerPoint presentationsAid in the collection and processing of advisor and partner informationMaintain group relevant data in the company’s CRM systemMaintain an inventory of key external contactsHandle sensitive and confidential matters relating to the daily activity of the groupWork cross functionally as part of a team with other groups and departmentsWork closely with other executive and administrative assistants and teams to increase efficiencies in group supportOther duties as assignedQualifications
Minimum of 3 years of experience in an Administrative Assistant position; exposure to the financial industry preferredUniversity or college degree preferredAdvanced knowledge of MS Office (Word, Excel, Outlook, Calendar) and comfort and interest in learning new applicationsExperience with calendar management, booking high profile meetings, events and managing the expense reimbursement processExperience with CRM is an assetProven attention to accuracy and detail, highly organized with the ability to prioritize and multi-taskStrong communication skills (verbal and written) and interpersonal skillsMotivated, energetic, eager to learn, adaptable and professionalAbility to work in a high performing culture, under pressure and with time-sensitive deadlinesAble and willing to work flexible hours, as requiredExemplify our Guiding Principles of Integrity, Partnership and High Performance
