Duplicate Contact Review Assistant
Office Administration | Duplicate Contact Review | Remote | Full-time | 64,480–67,600 per year
Two records may describe one person—or two different people
This remote office role helps identify possible duplicates in an online customer database. You will compare the information already available, record what appears to match, and flag uncertain pairs for an authorized decision. You will not merge accounts independently or assume that a shared name proves the records belong together.
A team may give you a queue of pairs identified by the system. One pair could have the same phone number and similar names; another could share an address but have different account holders. Read each field carefully and document the relevant similarities and differences. If the employer’s instructions allow a routine correction, follow them; where a merge or sensitive change requires approval, leave the records unchanged for review.
Two records with the same surname need not belong to the same person. Check the identifiers the employer permits you to compare, such as a reference and current contact detail, before flagging a possible duplicate. A shared email address may belong to a household or office and should not be treated as proof on its own. Note the evidence and the remaining uncertainty for the colleague authorised to merge or retain records. If the records differ on a communication preference, keep both values visible during review rather than selecting one by guesswork.
What the comparison produces
The outcome is a short, useful note, not a long investigation. State which records were examined, which fields agree, and which details conflict or are missing. If a related message in the record explains a change of address or name, include that context as permitted. Do not copy unnecessary private information into a separate document.
A second set of records may look almost identical because two members of one household use the same contact email. That is why a check based on a single field is weak. Pause when the evidence does not support a confident match. The person authorized to decide should be able to understand your observation without retracing every click you made.
Day-to-day work
You may move through an assigned queue, open two records side by side, compare their contact details and reference notes, and mark each pair as requiring review or no apparent match under the employer’s categories. After submitting the note, check that it is attached to the intended records. If a colleague replies with a decision, update the queue status according to instruction. A pair should not remain labelled unresolved after it has been handled.
This work calls for accuracy with names, dates, and contact fields, and comfort with online records. Customer service experience can help you understand the impact of sending messages to the wrong record. Office administration experience can help with orderly comparisons and notes. Both can help, but a beginner who checks carefully can learn the employer’s record rules and tools.
Before closing a comparison, check whether a new note or contact update arrived while the pair was waiting in the queue. A change to one record may explain an earlier difference or introduce a new question. The review note should distinguish what you observed from what someone else decided. If the authorized reviewer determines that the two records are separate people, record that outcome so the same pair does not keep returning without context.
A home office or another private setting can support this remote work. The position is full-time. The hiring company will confirm its access, scheduling, and privacy instructions for a real opening.
Records with the same initials or a shared household should remain separate unless the authorized process establishes otherwise. A false merge could affect later communication, so your careful note is valuable even when its conclusion is “uncertain.”
Who should apply
Careful comparison and a willingness to leave an uncertain match unresolved are the qualities to show. Experience with contact lists or customer records can help, but newcomers are welcome. Use your resume to make relevant accuracy and note-taking skills clear.
If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. A particular database product is not required at the start.
