Job description

Our client is an established, industry-leading North American designer, manufacturer, and builder of advanced commercial greenhouse structures and controlled environment agriculture (CEA) infrastructure. Serving commercial growers, research institutions, educational facilities, and government organizations, they deliver high-performance, sustainable facilities built for operational excellence.

To support a rapidly expanding project pipeline, they are seeking a highly organized and detail-oriented Project Coordinator to join their team. This position is ideal for early-to-mid-career coordinators looking for long-term growth; with major multi-year projects projected over the next 3–5 years, this role offers exceptional advancement potential and hands-on exposure to large-scale, complex builds. Working closely with Sales, Engineering, Procurement, Manufacturing, Field Installation Teams, Subcontractors, and Clients, you will coordinate key project activities from initial award through to final commissioning and handover.

Responsibilities
• Project Coordination & Administration
- Support Project Managers in planning and executing commercial greenhouse construction projects.
- Maintain project schedules, milestones, deliverables, action items, and critical deadlines.
- Coordinate project meetings, prepare minutes, and follow up on outstanding actions.
- Monitor project progress and promptly communicate potential delays, risks, scope changes, or issues.
- Prepare and maintain project documentation, including submittals, requests for information, change orders, permits, and closeout packages.
- Track project deliverables and support their timely completion.

• Construction & Site Coordination
- Coordinate activities among customers, contractors, subcontractors, consultants, suppliers, installation teams, and internal departments.
- Support project mobilization, site activities, installation, commissioning, and project closeout.
- Participate in site visits and project meetings as required.
- Assist with resolving field issues and maintaining effective communication between site and office personnel.
- Help ensure project activities align with approved drawings, schedules, safety requirements, and customer expectations.

• Engineering & Document Control
- Work closely with Engineering to coordinate project documentation and design revisions.
- Ensure project stakeholders have access to the latest approved drawings, specifications, site plans, and construction documents.
- Coordinate document distribution and maintain revision control.
- Review project documentation for completeness and communicate missing or conflicting information.
- Maintain accurate and organized project records throughout the project lifecycle.

• Procurement & Material Coordination
- Coordinate material requirements and delivery schedules with Purchasing, Manufacturing, suppliers, and project teams.
- Monitor long-lead items and communicate potential impacts to project schedules.
- Track material status and support project forecasting and logistics planning.
- Assist with vendor communication and the coordination of project-specific materials and equipment.

• Customer & Stakeholder Communication
- Serve as a key coordination contact for customers during project execution.
- Provide regular project updates and status reports.
- Coordinate project reviews, progress meetings, and required follow-up activities.
- Support the timely resolution of customer concerns and project-related issues.
- Maintain professional and positive working relationships with all project stakeholders.

• Health, Safety & Quality
- Support compliance with company safety policies, site requirements, and applicable regulations.
- Assist with quality control processes, inspections, audits, and required documentation.
- Promote a culture of safety, quality, accountability, and continuous improvement.

• Continuous Improvement
- Identify opportunities to improve project delivery, communication, documentation, and coordination processes.
- Support the implementation of project management and construction best practices.
- Assist with special projects and departmental initiatives as required.
- Perform other duties as assigned.


Qualifications
• Education: Diploma or Degree in Civil Engineering, Construction Management, Engineering Technology, Project Management, or a related field.
• Experience: 3 to 7+ years of experience coordinating construction, civil engineering, industrial, commercial, or structural projects (candidates showing strong growth potential in early-career roles are encouraged to apply).
• Document Literacy: Strong ability to read and interpret engineering drawings, structural layouts, site plans, and Bills of Materials (BOMs).
• Software Proficiency: Advanced working knowledge of Microsoft Office (especially Excel); experience with project scheduling tools, document control software, or ERP systems is an asset.
• Key Attributes: Excellent organizational habits, sharp attention to detail, proactive problem-solving abilities, and strong written/verbal communication skills.
• Travel & Requirements: Valid driver’s license and passport; ability to travel 10–20% within Canada and the US and visit active construction environments.
• Assets: Previous background in agricultural structures, controlled environment facilities, steel fabrication, or modular manufacturing environments is considered a strong asset.
