Scanning and Filing Clerk

Our client, a leader in the food service distribution industry, is seeking a meticulous and organized Scanning & Filing Clerk for their office in Woodstock, Ontario. This is a temporary help position focused on a vital digital transformation project. We are looking for a focused individual to assist with the digitization of sensitive records. You will be responsible for converting physical employee files into a streamlined, digital filing system.

Advantages
Duration: 4-month contract (with the possibility of extension)
Schedule: Monday – Thursday 9:00 AM – 5:30 PM or 8:00 AM - 5:30PM
Location: Woodstock, ON (Onsite)
Compensation: $22.00 per hour


Responsibilities
The primary objective is to process approximately physical employee files. Your duties will include:
- Removing staples, paperclips, and ensuring documents are flat and ready for high-volume scanning
- Operating scanning equipment to create high-quality digital copies of physical records
- Naming and sorting scanned documents into digital folders based on specific categories (e.g., payroll, performance, onboarding)
- Reviewing digital files to ensure clarity, completeness, and accuracy against the original paper records
- Maintaining strict privacy and security standards while handling sensitive HR information

Qualifications
- Previous experience in office administration, filing, or document management is preferred
- Comfortable using scanners and navigating folder structures in Windows or cloud-based storage and using SharePoint is an asset
- Ability to spot missing pages or naming errors to ensure the digital library is perfectly organized
- Consistent attendance and a strong work ethic are essential to meet the assignment timeframe
- Proven ability to handle confidential and private information in a professional manner
