Job Summary

Works in the specialized library environment of the Library Preservation and Archives facility (PARC) located on south campus. Participates in all aspects of the day-to-day operations of the PARC which has an estimated storage capacity of 1.6 million items. Duties include but are not limited to organizing assessing and processing materials catalogue maintenance retrievals deliveries and returns operating the order selection vehicle basic preservation assessments and responding to staff inquires.


Organizational Status

Accountable to the Collection Management & Planning Librarian. Works independently under minimal supervision and under the general direction of the ASRS/PARC Manager. Independent action may be required during managers absence with decisions based on established policies and procedures. Prioritizes daily tasks as required. Guidelines include the ASRS/PARC Operations Manual and divisional directives. Maintains close working relationships with other staff members of PARC and ASRS as well as Facilities Technical Services Records Management and other UBC Libraries.


Work Performed

  • Assesses organizes and processes items for loading into the PARC which includes assessing condition of item marking vacuuming sizing and sorting
  • Responsible for deliveries and pick-up of materials transferred to the Storage unit for the Education Moves Project from Koerner and the Education Library to PARC or the ASRS. Driving and operating the delivery vehicle is required
  • Uses the Rebarcoding program to update item barcodes
  • Uses the iCheck program to determine the proper location for materials and to verify the accuracy of the descriptive metadata for each item as needed
  • Uses the iMove program to change item location from to Storage
  • Uses specialized software to maintain the item records for transferred materials. Accesses online item records and determines the appropriate action edits/modifies fields re-sequences hierarchies and saves the changes
  • Responsible for ensuring timely and accurate services by retrieving storing and auditing of items in the PARC
  • Resolves operational issues varying from routine to complex in nature; identifies and reports significant errors with PARC containers and contents and complex equipment problems to the Manager
  • Resolves inventory and in-transit issues. Maintains and corrects container inventories.
  • Interprets and reports PARC exception reports and alarm logs and determines the correct action to resolve the problem
  • Prepares items for transfer between the PARC and other Library locations. Performs routine bibliographic updating and maintenance to holding and item records as required and refers complex upgrades to Central Technical Services. Adds volumes/updates existing holding and item records to reflect new information.
  • Checks bibliographic integrity and quality by comparing the record to a checklist of core record standards.
  • Responsible for operating the order selection vehicle at heights up to 30 feet to retrieve and store materials in PARC.
  • Assesses all incoming materials and determines if remediation is required prior to storage.
  • Records and reports work statistics.
  • Performs other related duties


Consequence of Error/Judgement

Understands and complies with the requirements of the Universitys Occupational Health and Safety policy. Ensures that all work is conducted in accordance with established procedures and Work Safe BC regulations. Works under general supervision. Work is performed in accordance with established procedures and well-defined standard practices. Job tasks are usually well defined requiring the use of established guidelines where there is little or no choice of action. Some planning may be required. Performs routine duties independently. Unusual problems are referred to the supervisor. Errors in processing items to the PARC could result in the long-term loss of an item to an unknown location within the storage facility. Organizational skills are essential to complete daily tasks as delays will cause a disruption in the workflow of many units.


Supervision Received

Work is monitored to ensure adherence to established policies and procedures. Receives direct supervision from the ASRS/PARC Manager. Position is accountable to the Collection Management & Planning Librarian.

Minimum Qualifications
High School graduation plus two year Library Technician diploma plus three years of related experience or an equivalent combination of education and experience.

Preferred Qualifications

Knowledge of Library policies procedures and circulation services. Ability to understand bibliographic records and to use online searching protocols. Ability to understand and apply Library policies procedures and instructions with consistency. Ability to type 40 WPM and to operate the normal range of library equipment. Computer experience required (Word Excel library database systems including Voyager and LAS preferred or another similar Library Integrated System). Ability to communicate effectively verbally and in writing. Ability to deal with a diversity of people in a calm courteous and effective manner Ability to maintain accuracy and attention to detail. Ability to develop and maintain cooperative and productive working relationships and engage in workplace culture. Ability to recognize and appreciate the contributions of colleagues. Committed to demonstrating respect to colleagues at every level by trusting in their abilities and knowledge to perform their roles and earning respect through meeting commitments. Models and demonstrates good communication through active listening and appreciative inquiry and open to providing and receiving timely constructive feedback. Ability to exercise sound judgment and tact. Ability to lift up to 20 kgs. (45 lbs) of boxed materials and to push fully loaded book truck. Ability to tolerate heights up to 30 feet and be able to work for periods of time in a temperature of 10 degrees Celsius and a humidity of 30%. Certification to operate the order selection vehicle will be required. Ability to reach both upper and lower shelves when retrieving books. Valid BC drivers license (Class 5 or better). Experience with driving a large delivery truck would be an asset.
