Job description
Job Summary

The Faculty of Medicine inspires and enables excellence in health care through its medical education and research programs, and by serving and engaging society. Reporting to the Manager, Distributed Education, the Medical Education Scheduler, Sydney is responsible for administering and coordinating all clinical learning experiences for the Department of Family Medicine’s postgraduate teaching programs, Longitudinal Integrated Clerkship (LIC) Program, all visiting postgraduate and undergraduate rotations including both Dalhousie and non-Dalhousie learners as well as the Master of Physician Assistant Studies (MPAS) Program ensuring smooth, transparent and equitable scheduling of learner clinical experiences for the Sydney site.

Key Responsibilities

  • Coordinate and administer all clinical learning schedules across postgraduate, undergraduate, LIC, visiting learners, and the MPAS program to ensure equitable and efficient placements.
  • Serve as the primary point of contact for all clinical scheduling and learning experience inquiries for the Sydney Family Medicine teaching programs.
  • Develop, maintain, and communicate comprehensive rotation schedules (PGY1–PGY3, LIC, and visiting learners), ensuring compliance with program requirements, accreditation standards, and collective agreements.
  • Collaborate with program administrators, site leadership, and clinical partners to assign placements, manage capacity, and resolve scheduling conflicts.
  • Maintain accurate scheduling data in systems One45) and ensure alignment with evaluation processes and reporting requirements.
  • Support program operations through stakeholder communication, coordination of learner activities, and assistance with administrative tasks and special events.

Note

The successful applicant will be eligible for hybrid work (combination of in-person work at South Shore Regional Hospital in Bridgewater and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications

  • Business/Administrative Professional program with three to five years’ related work experience, preferably in a health professional education environment is required (or an equivalent combination of training and experience).
  • Advanced oral presentation, written and verbal communication skills.
  • Organizational skills and attention to detail, with the ability to multi-task and use initiative in a team environment.
  • Problem solving skills and the ability to work in a collaborative environment.
  • Must be able to exercise initiative and work independently, and handle sensitive and confidential student issues with considerable tact
  • Experience with various webinar and online web conferencing systems (MS Teams) as well as software packages (MS Office Word, Excel, Access)). Advanced experience or expertise in Excel. Experience in dealing with remote technologies and IT matters.

  • Knowledge of the Medical School and hospital IT systems as well as Dalhousie’s intranet, DalMedix, and Brightspace.
