Legal Administrative Assistant

Maternity Leave Contract - Starting mid October 2022 - 12 to 18 months in duration
Our client, a law firm located in the north end of Toronto is in need of a Legal Administrative Assistant to support a Partners in the day to day operations of a busy legal practice in multiple areas of law including real estate, corporate, commercial and estates.
The ideal candidate will have a minimum of 2 years experience in a legal administration role and will have a positive attitude, very strong communication and technical skills. The successful candidate must demonstrate initiative, high attention to detail, and the ability to work independently in a fast-paced environment, manage multiple priorities and meet deadlines. In addition, strong client service skills, organizational skills and practice management abilities are required.
Major Responsibilities And Job Duties
Administrative Support
Administrative tasks including email / calendar management, filter incoming calls / mail and assisting with meeting scheduling and preparation Ensure follow-up on activities, files and outstanding items Maintain client contact information Assist with time docketing and fee sheets Back up and support to the Executive Legal Assistant
Drafting and Revising
Transcribe, prepare and revise legal documents, contracts and correspondence. Organize and assemble document briefs.
File and Document Management
Opening and closing of files using PCLaw software. Maintenance of client contact and identification information in accordance with the Law Society of Ontario client identification and verification requirements. Up to date maintenance of legal files, including its correspondence and relevant documentation Maintenance of the electronic filling system
Miscellaneous :
Liaise with clients, lawyers, clerks and students. Collaborate with support staff and supervise assistant(s).
Qualifications
Post-secondary education (College diploma or University degree preferred) A minimum of 2 years of experience as a Legal Assistant A solid understanding of current legal terminology Strong organizational and time management skills Professional communication skills with clients, lawyers and team members Excellent multi-tasking abilities Proven ability to manage a large workload volume, competing priorities and demands Sound ability to adhere to strict deadlines Strong computer skills including Microsoft Office, Excel, Word, Outlook, PCLaw and documents management software Ability to work independently, take initiative and follow instructions with minimal supervision Ability to work well within a team environment Interested candidates should apply today!
