Job Title: Project Administrator (Design Assistant)
Job Description
We are a fast-growing engineering consulting group and have expanded our operations to Canada in 2014. A significant part of our growth is from our Western Canadian Operations focused on Infrastructure and Utilities projects. To support this growth, we are offering a full-time position for a Project Administrator (Design Assistant) to join our Utilities Division in New Westminster, BC. This role provides administrative support to the design team and involves clerical aspects of design to advance project objectives. The position involves both administrative and light technical work, with training provided. We seek individuals who are results-driven, analytical thinkers, and capable of grasping basic technical concepts, with excellent Microsoft Word and Excel skills. This role operates under a Hybrid Model, with four days in the office and one day working from home.
Responsibilities
- Coordinate work with clients, First Nations, Municipalities, Environmental, Archaeology/Heritage, Properties groups, and telecom companies.
- Assist communications with clients and other entities with the support of the design team.
- Submit information to Municipalities/MoTI for approval and design to clients for approval, and notify the design team of the review results.
- Compile and submit work order packages per client specifications.
- Seek out and determine procedures for submitting documents to various stakeholders.
- Assist with coordination of the project team and communicate project information to the execution team when required.
- Initiate BC One and Dig the person calls to support the collection of design information and file responses received.
- Organize design requirements including design drawings, photos, specifications, permits, BC One call, etc.
- Prepare job planning files, including all related documents needed for design or field visits.
- Assist in creating and maintaining project documents, which may include letters, memos, reports, proposals, and spreadsheets.
- Perform data entry to support project delivery.
- Organize and maintain project information including RFIs, site instructions, and field review reports/memos.
- Support Project Manager by collecting design package status information.
- Support project document control needs.
- Provide advice to management or project team by researching and presenting options to solve basic technical and complex administrative issues.
- Work with various client-specific software and interfaces to extract or submit information.
- Support other administrative activities required by the project and office management team.
Essential Skills
- Excellent skills in Microsoft Word and Excel.
- Excellent oral and written communication skills.
- Degree or Diploma, preferably in Business, Engineering, Architecture, or other Science specializations.
Additional Skills & Qualifications
- Experience in administration within a professional environment.
- Familiarity with CAD or GIS programs is an asset.
- Experience in utility, telecom, or infrastructure environments.
- Experience with SAP, DAD, Passport.
- Experience in the utility sector.
- Experience in an engineering consulting environment.
Work Environment
The work environment is within an engineering consulting setting, typically quiet and focused. The team consists of about 80 people and is growing.
Job Type & LocationThis is a Permanent position based out of New Westminster, BC.
Pay and BenefitsThe pay range for this position is $26.00 - $26.00/hr.
