About The Role

The Fleet Administrative Assistant will provide complete administrative support services for the Fleet Department, including document handling, data entry and records maintenance.

This position is a 12 month maternity leave contract. The hours are Monday to Friday, 7 : 30am to 4pm.

What You Will Be Doing

  • Maintain and update the maintenance records for all fleet vehicles in Share Point and Geotab.
  • Enter lease invoices, update lease and usage rates, check for accuracy in Power BI.
  • Enter fleet invoices for fuel, telematics, decals, and update vehicle files as required.
  • Upload missing documents to the respective vehicles in the Master List.
  • Review and update 407 transponders and Petro Canada gas cards.
  • Update vehicle moves and new purchases.
  • Filing – ensure that original ownerships are complete and up to date.
  • Follow-up on tasks and assignments in a timely manner
  • Actively participate in all internal and external audits
  • What You Will Bring

  • Above average proficiency in MS Office, Share Point and Power BI.
  • Minimum 3 years of experience in the automotive industry, familiar with vehicle systems and mechanical repairs.
  • Ability to work effectively in a team environment.
  • Must demonstrate integrity and professionalism.
  • Must possess excellent verbal and written communication skills.
  • Must have a high level of accuracy.
  • Valid G driver license and clean driver record.
