Day in the life of a Legal Administrative Coordinator :

Expense Management

  • Accurately process departmental expenses in Microsoft Dynamics 365 (D365) , handling a high volume of expense items each month , with volume expected to increase as the team grows and KPIs expand.
  • Manage a high volume of incoming and outgoing cheques, ensuring compliance with internal controls and timelines.

Mail and Correspondence Management

  • Oversee daily large volumes of incoming and outgoing mail to eliminate delays in productivity
  • Digitize and distribute all incoming mail to appropriate team members, reducing paper clutter and improving workflow efficiency.
  • Manage the high volume general legal inbox, organizing and distributing a significant number of emails each month to the appropriate team members.
  • Ensure prompt and accurate distribution of correspondence to maintain seamless operations.
  • Handle sensitive and confidential information with discretion, supporting risk mitigation and business continuity.
  • Provide support for additional administrative tasks as required
  • What we are looking for :

  • Post-secondary education in Business Administration, Legal Studies, or related field preferred.
  • Minimum of 2 years of administrative experience, preferably in a legal or corporate environment.
  • Experience with Microsoft Dynamics 365 (D365) or similar ERP systems is an asset.
  • Strong organizational and time-management skills with the ability to handle high-volume tasks efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent attention to detail and accuracy in data entry and document handling.
  • Ability to maintain confidentiality and handle sensitive information.
  • Comfortable working in a fast-paced environment with competing priorities.
  • Must be able to work full-time on-site in our Pickering, ON office.

  • We are offering $18.10 - $20.50 / hour CAD for this role, plus the opportunity to earn yearly performance bonuses.
