Accounts Payable Clerk

We are looking for a dedicated Accounts Payable Clerk to join our team on a contract basis in Whitby, Ontario. This position offers an exciting opportunity to contribute to the smooth functioning of financial operations within a dynamic and collaborative environment. The role will initially require working in the office, transitioning to a hybrid schedule with three days in the office and two days remote after the initial period. This is a short-term contract position, with potential for extension depending on organizational needs.

Responsibilities:
• Process and verify invoices, ensuring accuracy and proper coding according to purchase orders.
• Manage payment schedules, including weekly payment lists, utilizing NetSuite and Excel for tracking and reporting.
• Collaborate with logistics teams to reconcile discrepancies between invoices and purchase orders.
• Perform month-end tasks, including bank reconciliations, visa transaction reconciliations, and accruals.
• Communicate effectively with internal and external stakeholders to resolve payment and invoice-related issues.
• Ensure timely data entry and adherence to deadlines for financial processes.
• Generate and manipulate spreadsheets to support accounts payable operations.
• Work closely with third-party freight companies and warehouse teams to coordinate billing and payment processes.
• Follow standard operating procedures to maintain consistency and efficiency in financial operations.
• Support the controller and accounts receivable teams as needed to meet organizational goals.
• Minimum of 2 years of experience in accounts payable or a related financial role.
• Proficiency in NetSuite and Microsoft Excel, including the ability to create and manipulate spreadsheets.
• Strong understanding of invoice processing, coding, and reconciliation.
• Excellent communication skills, with the ability to collaborate effectively across teams.
• Detail-oriented and deadline-driven, with a proven ability to manage multiple tasks.
• Familiarity with month-end procedures, including bank and visa reconciliations.
• Ability to work independently while contributing to a team-oriented environment.
• Experience with logistics and third-party billing processes is an asset.
